- What is the purpose of our privacy policy?
Protecting your privacy is important to Quoter Software Inc. (“we”, “Our Company”). As such, we place a high priority on the confidentiality of personal information and compliance with applicable laws.
This privacy policy (the “Policy”) describes how we collect, use, disclose, retain, and protect personal information in connection with your use of our Active Takeoff software (the “Software”), and the features and services offered thereon (collectively, the “Services”).
In the Policy, the term “you” refers to any person who uses the Software or the Services.
In this Policy, the term “Personal Information” refers to any information concerning a natural person that allows for their identification, directly or indirectly.
The Policy is designed to comply with applicable laws regarding the protection of Personal Information in Quebec and Canada. - How do we use your Personal Information?
We use the Personal Information collected for the purposes described below.
- Communicating with You
We use the Personal Information you have provided to us (for example, your name and email address) to communicate with you.
- Identification and Provision of Our Services
We use the Personal Information we collect to identify you as a user of our Services, to provide those Services, to fulfill our contractual obligations towards you, and to process your requests and complaints related to the Services.
- Software Maintenance and Security
We use the Personal Information collected through the Software to prevent misuse of the Software, to identify issues or bugs in the Software, and to determine which features to improve. We may use certain automatically collected data to ensure the security of the Software and our IT systems, for example, to prevent misuse or to prevent or detect fraud.

We collect your Personal Information directly from you, particularly when you use the Software or Services, and we commit to processing it only for the purposes described in this section.

The Personal Information we collect is stored electronically by our service providers, primarily on servers located in the province of Quebec, Canada.
This provision does not apply to Personal Information entered, generated, or otherwise processed by the user through the Software, including by uploading documents containing Personal Information to the Software. This information is stored exclusively on the user’s computer or server, is not hosted by us, is not accessible to us, and remains under the user’s exclusive control. We do not retain any copies of this information.
- How do we protect your Personal Information?
Your Personal Information collected by us is hosted on servers operated by our service providers and is protected by security measures commensurate with the sensitivity of the Personal Information against unauthorized access.
Our employees and service providers are informed of the confidential nature of Personal Information and are made aware of the appropriate security measures to prevent unauthorized access to Personal Information.
For Personal Information entered, generated, or otherwise processed by the user through the Software, the user is solely responsible for the protection, retention, and security of such Personal Information within their IT environment and is encouraged to implement appropriate measures for this purpose, in accordance with applicable best practices.
- To whom is your Personal Information disclosed?
We share your Personal Information collected by us only as described in this Policy and when we have obtained your consent. Your Personal Information may be disclosed to the categories of persons described below for the purposes mentioned.
We do not disclose to any person the Personal Information entered, generated, or otherwise processed by the user through the Software. This information remains under the user’s exclusive control, and we do not have access to it.
- Employees
The Personal Information collected is accessible to certain of our officers and employees who need to access it to use it as intended by this Policy.
- Service Providers
We share certain Personal Information with our service providers who enable us to offer our Services more effectively. These providers have committed in writing to us to maintain the confidentiality of this Personal Information and to use it only for the purposes set forth in this Policy. You may request access to the Personal Information we hold about you and, where applicable, the correction of any inaccurate, incomplete, or ambiguous Personal Information.
Subject to the restrictions provided for by law, we will also provide you, upon request, with additional information regarding the processing of your Personal Information, including the categories of individuals who have access to it and the retention period, to the extent that this information is not already included in this Policy.
- Withdrawal of Consent
You may, at any time, withdraw your consent to the processing of your Personal Information when such processing is based on your consent.
Please note that withdrawing your consent may limit or prevent access to certain Services. It is not possible to prevent all processing of your Personal Information while continuing to use the Software or our Services.
- Deletion
Under certain circumstances, you may request the deletion of the Personal Information we hold about you when its collection was not authorized or when the purposes for which it was collected have been fulfilled.
If you continue to use the Software or Services, we will collect certain Information about you again.
- Right to Data Portability
Where provided for by applicable law, you may request to receive certain Personal Information about you that you have provided to us, in a structured and commonly used technological format, so that you may retain it or, at your request, disclose it to any person or entity authorized by law to collect such Personal Information.

To protect your Personal Information, we may take reasonable steps to verify the identity of any person exercising any of the rights described in this section. Information collected for this purpose will be used solely for identity verification purposes.

- The right to access – You have the right to request Our Company for copies of your personal data. We may charge you a small fee for this service.
- The right to rectification – You have the right to request that Our Company correct any information you believe is inaccurate. You also have the right to request Our Company to complete the information you believe is incomplete.
- The right to erasure – You have the right to request that Our Company erase your personal data, under certain conditions.
- The right to restrict processing – You have the right to request that Our Company restrict the processing of your personal data, under certain conditions.
- The right to object to processing – You have the right to object to Our Company’s processing of your personal data, under certain conditions.
- The right to data portability – You have the right to request that Our Company transfer the data that we have collected to another organization, or directly to you, under certain conditions.
- Changes to the Policy
We may amend this Policy from time to time to reflect changes in our practices regarding the management and processing of Personal Information. In the event of an amendment, the new Policy will be available on the Software interface.
If we have collected your contact information, we will notify you of any significant changes to our Privacy Policy by email within a reasonable timeframe before the new Policy takes effect. If we amend our Policy to inform individuals that their Personal Information will now be collected for additional purposes, we will seek your consent before using your previously collected Information, unless the new purposes are directly and reasonably related to the purposes for which your consent has already been obtained or unless applicable law otherwise provides that the consent of individuals is not required.
